Contract Modification and Extension via EDH

Use the Electronic Data Handling document.
(No more than 4 weeks before contract expiry for an extension request!!!)
WARNING: Only the latest versions of Firefox, Internet Explorer or Safari are supported !!!

Use your
CERN login id and password
and your
EDH password (Electronic Document handling system) which is not the same as your CERN password.

  • Complete the EDH document - note that the SAVE button at the top of the page allows you to save the document and to complete the details at a later time.
  • Attach the Home Institution Declaration and any other required document to the EDH form via the attach button at the top of the page, send it via the send button and upon request sign it using your EDH passwort. The EDH document will be routed for approval to your supervisor.
  • When the Team Leader (TL) or Deputy Team Leader (DTL) has signed the document, it is routed to the Users' Office who will inform you if everything is complete or if documents are missing. In this case the EDH document is blocked.

In exceptional cases the Manual Signature is accepted :

  • Sign the EDH document using your EDH authorisation password.
  • Print the document
  • Ask your TL or DTL to sign it.
  • Bring the signed copy, the Home Institution Declaration and any other required document to the Users' Office.

Team Leaders and Deputy Team Leaders who have not been officially nominated by their Institute cannot sign and you cannot change your contract until the Institute nominates a Team Leader!!

  • When the Supervisor has signed it is routed to the Users' Office who will inform you if everything is complete or if documents are missing. In this case the EDH document is blocked.

  • Bring the signed copy, the Home Institution Declaration and any other required documents to the Users' Office.

NOTE: If the supervisor does not sign after 3 days it will be automatically routed to the replacement person. If there is no replacement, it stays with them until it is signed.
If you have not received an e-mail from the Users' Office, please check the status by opening the specific document number which was allocated when you created it. It is most likely awaiting signature of the supervisor.
