FAQ Contractual and Personal Situation

If you were pre-registered as a User via the EDH pre-registration form, you can download a copy of your contract from the form (see “Contract” button at the top of the form). If you no longer have access to your EDH pre-registration form or if you were not registered via EDH, please write to the Users Office.

Although your CERN access card is initially issued for 5 years, it will automatically be deactivated at the end of your CERN contract.

You can download a general attestation (only mentioning the start and end dates of your current contract) directly from your HRT profile (https://hrt.cern.ch/hrt/EmploymentAttestation).
You may request an attestation with specific details (average presence, job title, contract history, etc.) from the attestation service on the CERN Service Portal

Home Institution Declarations are valid for a maximum of 6 months from the date of signature.

To delete the unnecessary drafts/documents, please follow these steps:

  1. Log into your EDH account at edh.cern.ch
  2. Go to “Documents Created by Me”
  3. Select the draft you want to delete and click on “Cancel selected”

A short-term contract cannot be extended. 

To extend your association with CERN, please contact your Team Leader (for Users) or the person responsible for your contract (for VISCs and COAS: Group leader, Departmental secretariat…) to create a new EDH PREG for you.

Make sure that all the fields in the EDH form are duly filled-in, especially the “Participation Institute” and “Origin Institute” fields.

If the error message indicates that you have created multiple drafts for the same type of request (several UCL documents), please cancel all unnecessary drafts first, and then sign the form see this knowledge article KB0005540 for detailed instructions.

If the error message indicates that “no one has been found to sign the document” (issue related to the signatory of the form) or that “no future assignment” exists for you (issue related to your current)

The Third-Party Account number assigned to a profile must normally be specified in the original Registration form. Should the Third-Party Account number be assigned or updated at a later stage, the Manager of the Third-Party Account to be assigned to your profile must send a request on your behalf to the Users Office.
